Who is responsible for your data

If you booked a table: the restaurant you booked with decides how your booking details are used and is the controller of that data. We store and process it on the restaurant's behalf, as their processor. For questions about a booking, or to use your data rights, contact the restaurant first. We will help them answer you.

If you run a restaurant on Reservatio, or visit our website: we are the controller of your account, billing and website data.

What we collect

• Guests: name, email address and/or phone number, party size, date and time, any notes you add to the booking, and whether you came.
• Restaurant accounts: name, email address, password (stored only as a secure hash), role in the team, venue details and settings.
• Billing: handled by Stripe. We receive the plan, payment status and a customer reference, never full card numbers.
• Technical data: IP address, browser type and the pages or features requested, kept in security logs.
• Emails: a record of which booking emails were sent to which address, and whether delivery worked.

Why we use it

• To take, change and cancel bookings, and send confirmation, reminder and change emails (to perform the booking the guest asked for).
• To provide the service to restaurants, including billing and support (to perform our contract with them).
• To keep the service secure, prevent abuse such as fake bookings, and fix problems (our legitimate interests).

We do not sell personal data, and we do not send guests marketing on behalf of Reservatio.

If a restaurant asks for a deposit, you pay through the restaurant's own payment provider. We never see or store those payment details.

Who we share it with

We only share data with service providers that help us run Reservatio, under contracts that protect it:

• Hetzner Online GmbH, which runs our servers and database in Germany.
• Amazon Web Services (Amazon SES, London region), which delivers our emails.
• Stripe, for restaurants' subscription payments.

Our servers are in the European Economic Area, which the UK recognises as giving adequate protection. Where a provider processes data elsewhere, it uses safeguards approved under UK data protection law, such as the International Data Transfer Agreement or standard contractual clauses.

How long we keep it

• Bookings and guest details stay for as long as the restaurant keeps its account, unless the restaurant erases a guest sooner.
• When a restaurant deletes its account, all of its venues, bookings and guest details are permanently deleted.
• Security logs of requests are deleted after 30 days.
• Records of sent emails are deleted after 12 months.

Your rights

You can ask for a copy of your data, ask for it to be corrected or deleted, object to how it is used, or ask us to limit it. Guests should ask the restaurant they booked with; restaurants can download or erase a guest's details from their dashboard. You can also contact us. If you are unhappy with how your data is handled, you can complain to the Information Commissioner's Office at ico.org.uk.

Cookies and similar storage

We only use your browser's storage for what the service needs to work, such as keeping you signed in and remembering small choices like a closed tip. We do not use analytics, advertising or tracking cookies.

Security

Connections to Reservatio are encrypted, passwords are stored as hashes, and each restaurant can only see its own data. No system is completely secure, so if we learn of a breach that affects you, we will tell you and the relevant authority as the law requires.

Changes to this policy

If we make important changes, we will update the date at the top and tell restaurant owners by email.
